Branded merchandise for conferences at Filoxenia Conference Center Nicosia — delegate kits, sponsor booths, signage and VIP gifts.
Filoxenia Conference Center as an event venue
Filoxenia Conference Center is a mid-size conference facility in Nicosia, owned by the Cyprus Hotel and Tourism Association (PASYX) and operated under the Filoxenia brand. It hosts national conferences, government events, industry seminars and certain corporate gatherings. The venue has a strong domestic and Greek-Cypriot identity, and the events tend to be 100–500 delegates over 1–3 days. This page covers how we approach event merch for groups meeting at Filoxenia.
Typical events at Filoxenia
Three event categories dominate the Filoxenia calendar: national conferences, government events and industry seminars.
National conferences typically run 2–3 days with 200–500 delegates. The event includes a main plenary, parallel sessions, an evening reception and a partner programme. The delegate kit is typically a folder or tote with notebook, pen, badge, lanyard and conference programme.
Government events include official ceremonies, ministerial conferences and inter-agency meetings. The merchandise is formal: leather folders, branded pens, name badges and gift sets for VIP guests. The branding is typically the government department or the official event logo.
Industry seminars are smaller (50–200 delegates) and more focused. The merchandise is lighter: notebooks, pens, water bottles and a small branded gift. The branding is the industry association or the seminar sponsor.
Logistics at Filoxenia
Loading dock, fair access, stand delivery and on-site presence. The logistics are managed by the venue's events team and require advance coordination.
Loading dock: Filoxenia has a service entrance accessible from the main road. Vehicles up to 3.5 tonnes can access the dock directly; larger vehicles must use the public car park. Deliveries are accepted from 08:00 to 18:00 on weekdays.
Stand delivery: for pre-event deliveries, we coordinate with the Filoxenia events team. Goods are placed in the conference storage room, and the venue's staff distribute to the registration desk or the delegate kits as agreed.
On-site presence: for programmes requiring on-site assembly or replenishment, we provide a dedicated team. The team handles registration desk setup, delegate kit assembly and any urgent replacements.
Post-event collection: we collect surplus merchandise the day after the event and either return it to the client's warehouse, hold it in our storage for the next event, or dispose of it as agreed.
Languages and cultural considerations
Filoxenia events are predominantly Greek-speaking with English translation for international guests. The merchandise needs to work in both languages.
Greek and English are the standard languages. For Russian-speaking guests (less common at Filoxenia than at Limassol venues), we add Cyrillic text. For Arabic-speaking guests, we add Arabic text.
Cultural considerations: Filoxenia events are formal and Greek-Cypriot in tone. The merchandise should be conservative and professional. Avoid aggressive colours or imagery that could be misinterpreted.
Government protocols: for events with government officials, certain protocols apply (use of official seals, formal language, certain gift-giving conventions). We work with the event organiser to ensure compliance.

Coordination with the venue
Every event merch programme at Filoxenia requires coordination with the venue's events team and the conference organiser. Clear communication is the foundation.
We establish a single point of contact at the venue (the events coordinator) and a single point of contact on our side (the account manager). All communications go through these two people.
We agree the brief in writing, including the merchandise specification, the quantities, the delivery dates, the placement instructions, and any special handling requirements. The brief is shared with the venue's relevant teams.
On the day of delivery, we arrive within the agreed window, check in at the service entrance, and follow the venue's procedures. The events coordinator signs off on the delivery.
After the event, we collect any surplus merchandise (unless the client has asked us to dispose of it or donate it) and we settle the invoice.
What we will and will not do
For clarity, the list below sets out what we will and will not do in relation to Filoxenia Conference Center.
We are an external merchandise supplier. We coordinate with the venue's events team and the conference organiser on behalf of the client. We do not represent the venue, speak on its behalf, or imply any partnership with the venue.
We deliver merchandise to the venue, place it where agreed, and collect surplus merchandise after the event. We do not handle the venue's own branded merchandise, the venue's internal staff merchandise, or the venue's official gift shop operations.
We do not imply any official status with the venue. Our descriptions refer to Filoxenia Conference Center by name only; we do not use terms such as 'partner venue', 'preferred supplier of Filoxenia', or 'in-house merch at Filoxenia'.
