Personalisation techniques for corporate merch in Cyprus | Merch Cyprus

When a name, an initial or a personal message turns a generic gift into a memorable one — and the techniques that make it work at scale.

Personalisation vs. branding

Branding is the company logo on the product. Personalisation is the recipient's name, role, or individual message on top of the brand. Personalisation is the technique that turns a corporate gift from a generic item into a keepsake — and it requires a different production mindset because every piece is now unique. This page covers the techniques, the data flow, and the practical pitfalls.

Embroidery with individual names

Embroidery is the most common personalisation technique for apparel, caps, bags and lanyards. A name is digitised and stitched into a defined position on each piece.

For a single name, the digitisation cost is typically €15–€25 per name (a one-time fee). For a programme with 100 names, this adds up — we usually recommend a 'first name' only approach to keep the digitisation cost manageable, or a single shared position on the chest with the name embroidered on the opposite chest.

Production rate for name embroidery is 60–120 pieces per hour per head, slower than logo embroidery because each name is a thread colour change. For a 500-piece programme with 100 different names, plan 8–12 working hours of embroidery time and budget €0.50–€1.50 per piece for the additional setup.

Names with non-Latin characters (Greek, Cyrillic, Arabic) are supported but require additional digitisation work. For Arabic names, right-to-left rendering and connected letter forms add 30–50% to the digitisation cost. For Greek names with diacritics, the digitisation cost is comparable to Latin scripts.

Laser engraving with individual marks

Laser engraving is the right personalisation for metal, wood, leather and acrylic items — pens, USB drives, power banks, notebooks, awards.

For metal pens and USB drives, the engraving is fast and durable. The artwork is sent to the laser as a vector file or a high-resolution raster; the laser marks the surface in 10–30 seconds per piece. Personalisation cost is typically €0.30–€0.80 per piece on top of the standard branding.

For leather notebooks and portfolios, laser engraving reveals the substrate colour underneath the surface finish, giving a subtle two-tone mark. The setup is the same as for metal — vector file, position template — and the production rate is similar.

For wooden items, the engraving burns the surface to a darker brown. The contrast depends on the wood: light beech and pine engrave clearly; darker walnut and mahogany are more subtle. We can provide a sample on the actual substrate before serial production.

UV printing and digital personalisation

UV flatbed printing can personalise virtually any flat surface with a name, a photo or a short message. The technique is fast and the setup is minimal.

UV printing works on plastic, metal, glass, ceramic, acrylic, wood and coated paper. The setup is the artwork file (vector or raster); the printing itself takes 30–120 seconds per piece depending on size and resolution. Personalisation cost is €0.50–€2.00 per piece.

For corporate gifts with individual names (wedding favours, retirement gifts, milestone awards), UV printing is the most flexible technique. We can print names, dates, short messages and even photographs from a simple data feed.

The limitation is durability. UV printing on a frequently handled item (a pen barrel, a phone case) is durable for 2–3 years of normal use; on a decorative item (an award plaque, a gift box lid) it is durable indefinitely. For heavily handled items, laser engraving is the better answer.

Doming (resin-coated labels)

Doming applies a clear polyurethane resin over a printed label, giving a 3D-effect raised finish. Used for badges, keychains, USB drives and small gifts.

The dome is a separate production step after the label is printed. A dispensing machine drops a controlled amount of resin onto the label; the resin flows, settles and cures under UV light. The cured dome is 1–2 mm thick, optically clear, and gives a premium feel.

Personalisation under a dome is straightforward: the printed label carries the name, the dome is applied after printing, and the result is a durable, scratch-resistant personalised mark. Doming cost is €0.20–€0.60 per piece plus a €100–€200 setup fee per design.

Doming is less common in our promos than laser engraving because it requires the labelled product to be designed for it (the dome needs a recessed area to sit in). For metal keychains, plastic badges and dedicated domed products it is the right answer.

Variable-data printing for paper and packaging

For paper items (cards, certificates, name tags, gift tags, packaging inserts), variable-data printing applies a unique mark to each piece from a database.

The artwork is set up with a 'variable field' (name, role, date, message) that is replaced for each piece from a CSV or Excel file. Production is via digital press (HP Indigo, Xerox iGen) for short runs or via offset with a continuous-feed printer for longer runs.

For corporate events, variable-data printing is the right answer for: name badges (with role and table number), table cards (with guest name), gift tags (with recipient name), certificates of attendance, agenda inserts with personal schedule. Setup cost is typically €50–€150 per variable field; per-piece cost is €0.10–€0.50.

Data handling is governed by GDPR. We sign a data processing agreement with the client before receiving the personal data, store the data on encrypted drives for the production window only, and delete the data within 30 days of the project close. We do not share the data with any third party.

The data flow and error handling

Personalisation introduces a new failure mode: a typo in the name database can put 'Jphn' on 200 pens. The data flow and the QC process need to be designed around that risk.

Three things make the difference. First, the client supplies the data in a structured format (Excel or CSV with a clear column structure); we send a template for the client to populate. Second, we run a data validation pass before production — checking for duplicates, missing fields, characters the printing technique cannot render. Third, we run a first-article check on the first 5–10 pieces from the production run before continuing.

Errors caught at the data validation stage cost nothing. Errors caught at the first-article check cost a few hours of setup. Errors caught at the QC stage after the full run cost a reprint. We catch the vast majority at the validation stage by being explicit about the data format and asking the right questions.

For high-stakes personalisation (gifts for the President of the Republic, awards for a VIP dinner, gifts for a shareholder AGM) we recommend a physical sample with the actual names before serial production. The cost is the same as a regular strike-off but the peace of mind is significant.

Frequently asked questions

What is the per-piece cost of personalisation?

Laser engraving: €0.30–€0.80 per piece. Name embroidery: €0.50–€1.50 per piece plus a one-time digitisation fee of €15–€25 per name. UV printing: €0.50–€2.00 per piece. Doming: €0.20–€0.60 per piece plus setup. Variable-data printing on paper: €0.10–€0.50 per piece plus setup of €50–€150.

Can you handle Greek, Russian and Arabic names?

Yes, all three. Greek and Cyrillic scripts are handled by embroidery and laser engraving natively. Arabic requires special handling for embroidery (right-to-left rendering, connected letter forms) and adds 30–50% to the digitisation cost. For UV printing, all scripts are handled via Unicode fonts without surcharge.

What happens if the name database has a typo?

We run a data validation pass before production and send the client a corrected list. Typos caught at this stage cost nothing. Typos caught after the production run starts cost a reprint of the affected pieces, plus the cost of the discarded pieces. We have a written RMA procedure for typo reprints and will share it on request.

Can I send the data file in Excel format?

Yes, Excel and CSV are both supported. We send a template with the agreed columns. The data is stored on encrypted drives and deleted within 30 days of project close, in line with GDPR. We sign a data processing agreement before receiving personal data.

Is there a maximum number of unique names per order?

No hard limit, but the digitisation cost becomes significant above 200 unique names. For a programme with more unique names than pieces (e.g. 500 pieces with 500 different names), we recommend embroidery with first names only and a single surname position, or laser engraving with a vector file for each name supplied by the client.

Can you print photographs on gifts?

Yes, via UV printing on flat surfaces (acrylic awards, ceramic tiles, phone cases) or via dye sublimation on coated metal or polyester. The image needs to be at least 300 dpi at the final printed size. We can colour-correct and crop the image before printing, and provide a digital proof for approval.
